Smart Story Studio Pty Ltd (ABN 19 691 643 062) ("we", "us", "our") operates the Smart Story Studio platform including the website smartstorystudio.com.au and the Smart Story Studio iOS application. This Privacy Policy explains how we collect, use, disclose, and protect personal information in accordance with the Australian Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).
Account information: name, email address, centre name, and password when you sign up.
Payment information: credit card details are collected and processed securely by Stripe. We do not store card numbers on our servers.
Usage data: reports generated, login activity, and feature usage to improve our service.
Children's information: educator-entered observations, learning stories, and progress notes. This information is entered by authorised educators and is used solely to generate reports for the centre.
We use personal information to:
- Provide and maintain the Smart Story Studio platform
- Generate reports based on educator input
- Process payments via Stripe
- Send transactional emails (welcome, billing notifications)
- Improve our services and user experience
- Comply with legal obligations
All data is stored on Australian-hosted infrastructure (AWS Sydney region) or with service providers who comply with Australian data sovereignty requirements. We use encryption in transit (TLS) and at rest (AES-256). Access to personal data is restricted to authorised personnel only.
We use the following third-party services:
- Amazon Web Services (AWS) — hosting, storage, and compute (Sydney region)
- Stripe — payment processing
- OpenAI — report content generation (no children's names or identifying information is sent)
- Google Analytics — website usage analytics
Each provider has their own privacy policy and we encourage you to review them.
Smart Story Studio processes children's developmental observations as entered by authorised educators. We do not collect information directly from children. Educator-entered data is used solely for generating reports and is not shared with third parties for marketing purposes. Centres remain the data controllers for children's information.
We retain account data for as long as your account is active. Report data is retained for the duration of your subscription plus 90 days after cancellation to allow for data export. You may request deletion of your data at any time by contacting us.
Under the Australian Privacy Principles, you have the right to:
- Access the personal information we hold about you
- Request correction of inaccurate information
- Request deletion of your data
- Lodge a complaint with the Office of the Australian Information Commissioner (OAIC)
